Open Positions

The Project Operations Assistant manages multiple responsibilities related to the efficient and accurate administration of PA services for clients. It is a hybrid role that incorporates responsibilities from both the Project Assistant position and the Client Services Specialist position. These responsibilities will include processing orders for assessments, scheduling proctored sessions and interviews, scoring, quality control and delivery, as well as project and client management support for 1-2 Consultants/Account Managers. The Project Operations Assistant ensures the work is accurate, on time, and follows the policies and procedures of PA.

Responsibilities

Operations

  • The Project Operations Assistant will manage the intake and initial processing of assessment orders and scheduling proctored assessments and interviews.
  • Handle general client questions, issues, and requests for information.
  • Ensure outstanding customer contact with all clients, both internal and external.
  • Maintain customer information in databases.
  • May occasionally assist with the assessment inbox, uploading assessment data and paperwork to FileMaker, setting up report templates, and monitoring incomplete candidates.
  • May check report drafts from consultants for scoring, spelling, punctuation, and grammar and correct as needed; check with the consultant before changing when corrections may change meaning.
  • Other duties as assigned.

 

Assistant to AM/Consultant

  • Maintain calendars, scheduling, expense reports, travel arrangements, and billing for Consultants.
  • Complete basic project management tasks for assigned work.
  • Coordinate an effective follow-up system to ensure things do not slip through the cracks.
  • Collaborate with client contacts and team members across departments to deliver exceptional products and services.
  • Keep accurate and up-to-date records of clients, their requirements, and key contacts.
  • Continually strive to improve processes and make them more efficient.
  • Other duties as assigned.

Skills:

  • Excellent organizational skills.
  • Strong attention to detail.
  • Ability to clearly communicate in a professional manner with clients and vendors alike.
  • Ability to be flexible and solve practical problems.
  • Ability to meet client and organizational needs simultaneously.
  • Good skills in MS Office applications Word, Excel, PowerPoint, and Outlook, as well as in-house software.
  • Typing minimum 55 WPM.

 

 Qualifications:

  • High School graduate (minimum); degree in business/psychology application preferred.
  • Previous experience as an administrative assistant or in account services in a complex organization preferred.
  • Ability to compose, edit and produce flawless written documents.
  • Capacity to deal with CEO/SVP/Board level clients.
  • Experienced in handling sensitive, confidential issues and information.
  • Ability to see the ‘big picture’ without losing sight of the details.
  • Customer-focused, deadline-driven, flexible team player.
  • Outstanding customer service skills are required.

Business Development is all about relationships. This role requires a professional with a hunter style of finding business. Identify sales leads, qualify new clients, and sell professional services. Successful track record of building new business and expanding existing business with current clients.

Specific Responsibilities

– Develop knowledge of products and services.

– Prospects for new sales opportunities.

– Engages in senior level Customer meetings to discuss Customer’s business issues and explores how PA can help their company.

– Organize and track all outreach information in PA’s CRM software.

– Communicate with prospective customers using multiple channels for outreach.

– Coordinate with senior executives at PA to prepare for and execute on sales meetings/calls with prospective customers.

– Collaborate with leadership team on sales presentations.

– Other duties as assigned.

– Meet prospect meeting targets via cold calling and lead generation efforts.

– Provides input and recommendations to Marketing on current offerings; how to improve/expand and accelerate business growth.

– Assists in developing marketing materials and client presentations.

Preferred Qualifications, Skills, & Experience

– 5+ years’ experience selling professional services.

– Strong track record of success in selling professional services to Enterprise customers.

– Strong business acumen.

– Strong negotiation skills

– Deep knowledge of professional services

– ActiveCampaign customer experience platform experience desirable, but not required.

– Strong influence management skills.

– Independent; self-motivated; strong drive; high energy.

– Excellent in building strong relationship.

– Exceptional communication skills—verbal and written, as well as the ability to discuss complex issues in a clear and concise manner.

Education Requirements
